Agency Retention (AppX Retention) Reporting Setup in Databox
Here is an overview how to set up the Agency Retention Reporting in Databox by System
Applied Epic
Activity
To maintain accuracy and consistency, create a separate a Report from Epic that pulls from Closed Date instead of Entered Date.
This will ensure we correctly capture all Closed–U and Closed–S activities.

How to Setup

Clone the Activity Report, edit the filter, and set the Closed Date as the date filter.

Schedule the same time with the other weekly reports

Renewal Call Activities
Note: Makes sure you document the Data Set Up Sheet so the reporting specialist has directions on cleaning the data for the future.

Items you need to build the dashboard

Completed Data inquiry form

Confirm the agency has started to use the activity codes

Confirm which activity codes they are using and their meaning if different than the APP Recommended codes (you can find them in the Agency School/Retention Training/Epic guide page 5)

Confirm the data has the successful/unsuccessful column

Identify if we need a PL and CL board or just 1 for the agency

If set by department confirm we have the departments or names to separate by

Confirm if we should run the reports by WhoOwner Code or Entered By

Note: This can vary based on hoe they set up the calls

Parse the data according to the agency's set up

Example: If the agency wants a PL & CL Board - we will need to add a tab for each department

Document the Data Set Up Tab with the Details

Start Building Dashboard: Renewal Reviews Calls Assigned (This dashboard shows the calls assigned, how many are open, completed successful, completed unsuccessful and already reviewed in the last year

Set up the metrics

Retention Rate
You must have an updated Book of Business Report no $0 Estimated Premium and $0 Estimated Revenue. In addition the cancellations must not have remarkets in them the agency must be updating them.
