✅ Mission To establish a clear and repeatable structure for organizing marketing content files in both Google Drive and HubSpot. This ensures all marketing materials are easily accessible, properly labeled, and consistently formatted efficiently
🎯 Desired Outcome
-
Folders are correctly named and categorized by blog type, date, and title.
-
Content templates are used and filled out accurately.
-
All assets (raw videos, edited videos, blogs) are housed in organized folders for each week.
-
HubSpot file storage mirrors the folder structure of Google Drive.
🚫 Unacceptable Actions
-
Skipping the Pillar Blog setup for the first week.
-
Not using or duplicating the correct templates.
-
Using vague or inconsistent folder names.
-
Forgetting to set up both Raw and Edited folders.
-
Failing to match Google Drive folders in HubSpot.
🛠 Step-by-Step Instructions
🔹 1. Check the Marketing Calendar
-
Open the Marketing Calendar in Google Drive.
-
Review the current month to identify if Kelly (KDP) has already uploaded blog topics.
-
Take note of:
-
Pillar Blog → Always the first week of the month.
-
Supporting Blogs → All other weeks.
-
🔹 2. Duplicate the Blog Template
-
Navigate to the Marketing Assets Folder in Google Drive.
-
Locate the templates:
-
Pillar Blog Template
-
Supporting Blog Template
-
-
Right-click → Make a Copy of the appropriate template for your week.
-
Rename the copy:
Place the file in the appropriate monthly folder.[MM.DD.YY] – [Blog Title] (KDP)
Example: 07.01.25 – 3 Tips to Improve Policy Retention (KDP)
🔹 3. Fill Out the Blog Document
Open the newly duplicated blog document and update the following fields:
-
Author:
KDP
-
Date To Post: Use the exact week or date from the Marketing Calendar.
-
Keyword: Get this from the Marketing Calendar’s “Keyword” column.
-
3-Minute Video Title: Add the planned title if applicable.
🔹 4. Create Google Drive Folders
Now, organize folders to store all content files associated with the blog.
📁 In Google Drive:
-
Go to the Marketing Content Folder (inside your shared Google Drive).
-
Create two subfolders for each weekly blog:
-
Raw Video Folder
-
Edited Video Folder
-
-
Name each folder like this:
For the Edited Video folder, always include “- Edited Video” at the end of the folder name after the blog title.[MM.DD.YY] – [Blog Title]
Example:
07.01.25 – 3 Tips to Improve Policy Retention
-
Inside each, you’ll later store raw recordings, edited clips, and blog assets.
🔹 5. Mirror the Folder Structure in HubSpot
📁 In HubSpot:
-
Go to: Hubspot - Content > Files
-
Click: “Create Folder”
-
Use the same folder name as in Google Drive:
[MM.DD.YY] – [Blog Title]
-
This folder will hold any HubSpot content elements like CTAs, graphics, and scheduled post media.
🔄 Final Check
-
Ensure all fields in the blog doc are complete.
-
Double-check dates and titles match across:
-
Google Drive template
-
Folder names
-
Marketing Calendar
-
-
Confirm that Raw and Edited folders exist for each weekly blog.
