Hawksoft 6 Reporting Guide

Here is a guide to running the initial reports for Hawksoft 6 agencies

Overview Of Hawksoft 6 Reporting

  1. Make sure you run all the reports and match our reporting template

    1. Note: If the data does not match we will reach out to you to re-run the data

  2. Upload the reports to our form 

    1. Note: For cyber security purposes we do not want to email agency data

  3. Our team will review the reports to ensure we have the following:

    1. All of the fields we need

    2. The correct date range was selected

    3. The reports match our template

    4. There is usable information in the fields we need

    5. If there are any issues with these items we will reach out

  4. We build your initial dashboards 

  5. We meet with you to review the initial dashboards and make any modifications

  6. Your dashboards get approved by the agency 

    1. We assign you the day of week to send in your reports 

    2. You will get a list of which reports we need when (some we only take monthly)

    3. Your reporting manager will be assigned

    4. We prefer you set these up to be automatically generated and emailed to us at reports@agencyperformancepartners.com

    5. Each week we process your reports and send it back out to you for review

Activity Report

  • Use this template to make sure you have all the fields and the order to of the columns we need

    How to Pull the Data from Hawksoft

    1. Log into Hawksoft.

    2. Navigate to the "Reports" section at the top of the homepage.

    3. Click on "Quick Reports."

    4. Select "Activity Reports."

    5. Click on "+ New Report."

    6. Choose "All Client Actions by Date Range."

    7. Set the date range to "Previous week."

    8. Click "Run Report."


    Verify Report Structure

    • Ensure all required columns are present and in the correct order as per the agency's Activity Report template.

    • On the top-right corner, click on "Column Options."

    • Select "Save Layout."

      • Name the layout:
        APP - Activity Report - [Agency Name]

    • Save the layout.


    Exporting the Report

    1. On the top-right corner, click the three dots (•••).

    2. Click "Export to CSV."

  • Initial Upload Data Form

  • Active Weekly Reporting Data Upload Form

  • Purpose of this report: We want to look at the activity volume, who is logging activities, what is everyone doing and ensure uniformity of documentation.

Overdue Activity/Suspense Report

  • Use this template to make sure you have all the fields and the order to of the columns we need

    How to Pull the Data from Hawksoft

    1. Log into Hawksoft.

    2. Navigate to the "Reports" section at the top of the homepage.

    3. Click on "Agency Tasks."

    4. Review the page and ensure that all team member names and overdue tasks are visible on the screen.


    Save the Report

    • Take a screenshot of the full page, capturing all team member names and their overdue tasks.

    • Save the screenshot using the following naming convention:
      APP - Overdue Activity Report - [Agency Name]

  • Date Range: Anything due before today 

  • Initial Upload Data Form

  • Active Weekly Reporting Data Upload Form

  • Purpose of this report: We want to look at how well the team is using activities, if there is backlog and if you have old activities assigned to people who are no longer with the agency.

Cancellation/Lost Policy Report

Use this template to make sure you have all the fields and the order to of the columns we need

How to Pull the Data from Hawksoft

  1. Log into Hawksoft.

  2. Navigate to the "Reports" section at the top of the homepage.

  3. Click on "Quick Reports."

  4. Select "Agency Intelligence."

  5. Under the left-hand menu, click on "Policy KPI's."

  6. Select "Policies Lost."

  7. Click on the total number under the previous month to open the full report.


Verify Report Structure

  • Ensure all required columns are present and in the correct order as per the agency’s Cancellation Report template.

  • On the top-right corner, click on "Column Options."

  • Select "Save Layout."

    • Name the layout:
      APP - Cancellation Report - [Agency Name]

  • Save the layout.


Exporting the Report

  1. On the top-right corner, click the three dots (•••).

  2. Click "Export to CSV."

  • Initial Upload Data Form

  • Active Weekly Reporting Data Upload Form

  • Purpose of this report: We want to look to see who is cancelling, if your agency is coding rewrites, who's book is cancelling and if you are selling more than you are loosing. 

New Business Report

  • Use this template to make sure you have all the fields and the order to of the columns we need

    How to Pull the Data from Hawksoft

    1. Log into Hawksoft.

    2. Navigate to the "Reports" section at the top of the homepage.

    3. Click on "Quick Reports."

    4. Select "Agency Intelligence."

    5. Under the left-hand menu, click on "Policy KPI's."

    6. Select "Policies Sold."

    7. Click on the total number under the previous month to open the full report.


    Verify Report Structure

    • Ensure all required columns are present and in the correct order as per the agency’s New Business Report template.

    • On the top-right corner, click on "Column Options."

    • Select "Save Layout."

      • Name the layout:
        APP - New Business Report - [Agency Name]

    • Save the layout.


    Exporting the Report

    1. On the top-right corner, click the three dots (•••).

    2. Click "Export to CSV."

  • Purpose of this report: We want to look to see how much new business you are writing and if you are selling more than you are loosing. 

Book of Business/Policies In Force

  • Use this template to make sure you have all the fields and the order to of the columns we need

    How to Pull the Data from Hawksoft

    1. Log into Hawksoft.

    2. Navigate to the "Reports" section at the top of the homepage.

    3. Click on "Quick Reports."

    4. Select "Agency Intelligence."

    5. Under the left-hand menu, click on "Policy KPI's."

    6. Select "Policies in Force."

    7. Click on the total number under “Policies” to open the full report.

    • On the top-right corner, click on "Column Options."

    • Select "Save Layout."

      • Name the layout:
        APP - Book of Business - [Agency Name]

    • Save the layout.

  • Initial Upload Data Form

  • Purpose of this report: We want to look to see book size, carrier split, policy types and set your growth goals.

Retention Report

Use this template to make sure you have all the fields and the order to of the columns we need

How to Pull the Data from Hawksoft

  1. Log into Hawksoft.

  2. Navigate to the "Reports" section at the top of the homepage.

  3. Click on "Quick Reports."

  4. Select "Agency Intelligence."

  5. Under the left-hand menu, click on "Customer KPI's."

  6. Select "Customer Retention."


Save the Report

  • Take a full-page screenshot of the Customer Retention screen.

  • Save the screenshot in your designated reporting folder using the following naming convention:
    APP - Customer Retention - [Agency Name]


  • Purpose of this report: Identify your agency's retention rate, set a benchmark and track it monthly for trends.
