How to Create a Podcast Exit Pop-Up

🎯MISSION: To ensure every new podcast episode includes an eye-catching and up-to-date Exit Pop-Up CTA (Call-to-Action) that drives listener engagement and cross-promotion via HubSpot and Libsyn.

✅ Desired Outcome

  • A newly scheduled CTA is created for each weekly podcast

  • The graphic matches the week’s podcast content and branding

  • The CTA links directly to the correct podcast permalink

  • The Exit Pop-Up is scheduled to publish and unpublish at precise times

    🚫 Unacceptable Actions

    To maintain consistency, brand accuracy, and avoid errors, the following are not allowed:

    • ❌ Using outdated graphics or podcast information

    • ❌ Linking to the wrong Libsyn URL

    • ❌ Forgetting to update the publish and unpublish dates

    • ❌ Publishing without confirming the podcast title and date match the Canva image

    • ❌ Skipping the image replacement step

      🛠 Step-by-Step Instructions

      ✅ Step 1: Clone the Previous CTA in HubSpot

      1. Log into HubSpot.

      2. Navigate to Marketing > CTAs.

      3. Locate the most recent Exit Pop-Up CTA.

      4. Click Actions > Clone.

      5. In the edit screen:

        • Update the date in the CTA title to match the new podcast episode.

        • Remove the word "clone" from the title.

      6. Click Create CTA to save the duplicate.


      🖼 Step 2: Create the Updated Graphic in Canva

      1. Open Canva.

      2. In the search bar, type “Podcast Exit Pop-Up”.

      3. Choose one of the previous podcast pop-up templates.

      4. Duplicate the graphic.

      5. Update the title and date to reflect the new podcast episode.

      6. Confirm the correct podcast title by referencing the episode that will be published.

      7. In Canva, locate the graphic assigned to the same week’s podcast (for brand consistency).

      8. Save/download the graphic as a PNG file.


      🎙 Step 3: Get the Podcast Permalink URL from Libsyn

      1. Log into your Libsyn account.

      2. Go to the Episodes dashboard.

      3. Find the podcast episode scheduled for the date you're working on.

      4. Click the episode to view details.

      5. Copy the Permalink URL.

        B. Shorten with Bitly:

        1. Open Bitly in your browser and log in.

        2. Click Create NewLink.

        3. Paste the copied Permalink URL.

        4. Click Shorten, then copy the newly generated Bitly link.

        5. Paste this Bitly link into your draft (replacing the old podcast link).


      🔄 Step 4: Edit the Cloned CTA in HubSpot

        • Update Image:

          1. Upload your new PNG image (from Canva).

          2. Replace the previous image with the new one.

        • Go back to the CTAs section in HubSpot.

        • Find the newly cloned CTA.

        • Click Edit.

          Update Link:

      1. On the bottom-left side of the edit screen, locate the Link URL section.

      2. Paste the new Libsyn permalink URL.

      3. Double-check that the CTA title matches the podcast graphic and episode name.

      4. Click Apply.


    • ⚙️ Step 5: Set the Month and Scheduling Options

      1. While still in the CTA edit screen, go to the Options tab.

        Update the Month field to reflect the current month you’re working on.

    • Under "Options", select “Schedule for later”.

      1. Set the publish date to the same Monday as the podcast release.

        • Time: 8:01 AM.

      2. Set the Unpublish date to the following Monday.

        • Time: 8:00 AM.

      3. Once everything is confirmed, click Review and Publish Now.
