How to Create Blog Tickets in HubSpot

🧭 Mission To streamline blog production by ensuring that every blog post is tracked through a structured ticketing process in HubSpot, with all assets and deadlines clearly assigned and documented.

  • Blog tickets are accurately created in HubSpot with all fields completed.

  • Writers have a clear task assignment and deadline (6 weeks before post date).

  • All links (Docs, Drive folders, and HubSpot ticket) are added for transparency.

  • The HubSpot ticket URL is added to the Marketing Calendar entry for full tracking.

  • Leaving ticket fields blank or using incorrect naming formats.

  • Failing to assign or notify the author (writer).

  • Forgetting to add the HubSpot ticket link to the Marketing Calendar.

  • Missing Drive folders, blog documents, or incorrectly dated information.

  • Not setting the correct due date (6 weeks before publish date).


✅ Step-by-Step Instructions


🔹 1. Navigate to the HubSpot Marketing Content Pipeline

  • Log in to HubSpot

  • Go to:
    CRM > Tickets > Pipeline > Marketing Content Pipeline


🔹 2. Create a New Blog Ticket

  • Click Create Ticket (top right).

  • Ticket Name Format:
    MM.DD.YY – Blog Title (Author Initials)
    Example: 06.23.25 – Best Online Insurance CSR Training (KDP)

  • Pipeline: Choose Marketing Content Pipeline


🔹 3. Fill In the Weekly Content Post Fields

Scroll down the left sidebar of the ticket and enter:

  • Assigned Author: Kelly Donahue-Piro

  • Blog Posting Date: (Use Marketing Calendar)

  • Main Blog Keyword: (Use Marketing Calendar)

  • 3 Minute Video Title: (Use Marketing Calendar)

  • Content Template Form: Paste the link to the Google Doc blog template

  • Content Google Drive Folder: Paste the link to the correct folder

  • Edited Video Folder: Paste the link to the "Edited Video" folder with blog date


🔹 4. Create a Task for the Author

  • Go to the Tasks tab inside the ticket

  • Click Create Task

    Fill in the fields:

    • Task Title: Auto-fills from the ticket fields

    • Assigned to: Kelly Donahue-Piro

    • Priority: Medium

    • Task Type: To-Do

    • Queue: Marketing Content

  • Insert Snippet:

    • Use: Marketing Content Assignment

    • Edit the snippet:

      • Blogger Name: Kelly Donahue-Piro

      • Due Date: 6 weeks before the blog’s scheduled post date

      • Link: Paste the GDoc blog link


🔹 5. Verify Task Assignment

  • Confirm the task appears under the ticket

  • Double-check the due date and assigned writer

  • Ensure the snippet is filled out correctly


🔹 6. Add HubSpot Ticket Link to the Marketing Calendar ✅

  • Copy the URL of the HubSpot blog ticket

  • Go to the Marketing Calendar

  • Find the blog entry you just ticketed

  • Paste the ticket link into that calendar row for cross-reference and visibility
