      How to Update Blog and Podcast Links & Leadership Template

      🎯Mission of Updating Blog & Podcast Links & Leadership Template To ensure all blog and podcast content shared by APP is timely, accurate, and accessible across marketing channels and leadership documentation.

      ✅ Desired Outcome

      • Correct blog and podcast titles and links are published each week

      • Bitly links are tracked and optimized

      • Social media posts are updated and rescheduled with new content

      • Leadership Template reflects the most recent content for internal visibility

      🚫 Unacceptable Actions

      To maintain accuracy, brand consistency, and avoid confusion across platforms, the following actions are not allowed during this update process:

      • ❌ Using old or incorrect blog/podcast titles
        Do not reuse last week’s title — always confirm in the calendar and platforms.

      • ❌ Skipping Bitly tracking
        Never share raw URLs for the blog or podcast links; all links must be shortened through Bitly for tracking and uniformity.

      • ❌ Editing the wrong template
        Never create a new version of the Leadership Template — always select "Update Existing Template" to preserve consistency.

      • ❌ Leaving broken or untested links
        Do not paste links without confirming they open correctly and direct to the intended blog or podcast episode.

      📘 Step-by-Step Instructions

      ✅ Step 1: Retrieve the Previous Week’s Message from Marketing Chat

      1. Open APP New Marketing Strategy Group Chat 

      2. Scroll to last week’s blog and podcast post.

      3. Copy the entire message (title, links, etc.).

      4. Paste it into a new text draft or notepad file so you can edit the content with this week’s updates.

      ✍️ Step 2: Update the Blog Title and Bitly Link

      1. Go to the Marketing Calendar

      2. Locate the date for the current week’s Monday.

      3. Copy the Blog Title for that Monday.

      4. Locate the Bitly link that corresponds to that blog post and copy it.

      5. In your draft:

        • Replace the old blog title with the new one.

        • Replace the old Bitly link with the new one.


      🎙 Step 3: Update the Podcast Link from Libsyn

      A. Get the Permalink from Libsyn:

      1. Log into your Libsyn account.

      2. Navigate to the Episode Dashboard.

      3. Find the Monday episode for the current week.

      4. Copy the Podcast Title.

      5. Click the Embed button.

      6. In the popup, go to the Quick Links tab.

      7. Copy the Permalink URL 

      B. Shorten with Bitly:

      1. Open Bitly in your browser and log in.

      2. Click Create New → Link.

      3. Paste the copied Permalink URL.

      4. Click Shorten, then copy the newly generated Bitly link.

      5. Paste this Bitly link into your draft (replacing the old podcast link).


      🔁 Step 4: Generate Bitly Links for Spotify & Apple Podcasts

      A. Spotify

      1. Locate the Spotify link for that same episode.

      2. Copy the URL.

      3. Go to Bitly, click Create New → Link.

      4. Paste the URL and click Shorten.

      5. Copy the new Bitly link and paste it into your draft.

      B. Apple Podcasts

      1. Find the Apple Podcasts link for the episode.

      2. Repeat the same Bitly shortening steps.

      3. Paste the new Apple Bitly link into your draft.

      At this point, your draft should include:

      • Blog title + Bitly link

      • Podcast title

      • Bitly links for Libsyn, Spotify, and Apple

      📢 Step 5: Update the Scheduled Social Media Post in HubSpot

      1. Log into HubSpot.

      2. Go to Marketing → Social.

      3. Find the post scheduled for Monday at 2:00 PM (Podcast-related post).

      4. Tick the checkbox next to the scheduled post. (A total of 7 post)

      5. Click Edit, then select Make Draft.

      Update the Post Content:

      1. Replace the:

        • Blog title

        • Podcast title

        • Bitly links (Libsyn, Spotify, Apple)

      2. Double-check for typos or formatting errors.

      Finalize:

      1. Click Review, then Schedule the post for Monday at 2:00 PM.

      🗂 Step 6: Update the Leadership Template in HubSpot CRM

      1. In HubSpot, go to CRM → Templates.

      2. In the search bar, type:
        Monthly Leadership Agenda - 2 Year

      3. Locate the correct template and click the template.

      4. Scroll to the very bottom of the template.

      Paste the Updated Content:

      1. Insert:

        • Blog Title

        • Podcast Title

        • Bitly Links (Blog, Libsyn, Spotify, Apple)

      2. Confirm all formatting looks clean and correct.

      Save the Changes:

      1. IMPORTANT: Click Update Existing Template — do not create a new one.

      2. Close the editor once saved.

      🔍 Final QA Checklist

      Before closing out, confirm the following:

      • Blog title and Bitly link are accurate

      • Podcast title is correct

      • Bitly links for Libsyn, Spotify, and Apple are tested and working

      • Social post is scheduled for Monday 2:00 PM

      • Leadership Template is updated and saved under existing template
